
As soon as we pick up your documents, they enter our tracking and audit control system. We’ve installed a process that ensures proper management of our projects and gives you the peace of mind that your documents are well-tended to.
Barcodes are generated for every box that come into our facility. In some cases a large number of barcode stickers can be printed and supplied to the customer to be affixed as they prepare their documents to be picked up.
We’ll print barcodes with unique numbers that have certain details of the project encoded in the character string so that each unit is easily identifiable and retrievable.
Even if a barcode is skipped or damaged at the customer site and doesn’t make it onto the box, the software is advanced enough that it won’t effect the total inventory count or the ability to be tracked in the system.
More often, though, we’ll bring the barcodes with us and label the boxes as we pick them up. Each barcode is scanned, an electronic signature will be obtained, and a receipt will be printed.
When the boxes of documents arrive at our site, they are scanned, or checked in, to a location while they await processing. Should a document be requested from the box while its in our storage, locating it is as easy as punching in the number.
As the documents pass through the production process, the box is scanned and updated in our software. At each step, your box of documents is mapped to a stage and employee pair, thus providing detailed knowledge for us to review should the need arise.
