E-BizDocs improves productivity in large-format scanning

Service Bureau Eliminates Bottlenecks by Scanning Wide and Office Documents in the Same Workflow

E-BizDocs, an electronic document management service provider, uses the combined solution to scan wide format drawings within the same workflow as office-sized documents. The Contex and Kodak solution uses the same interface for narrow and wide format scanners, which streamlines the document scanning process. As a result, E-BizDocs reduces multiple steps from its workflow and improves overall efficiency in its scanning services.

“Before installing the Contex SD4490 with KODAK Capture Pro Software, we handled wide format documents differently than office-sized documents,” comments Howard Gross, President of E-BizDocs. “The workflow required setting up additional workstations and forced us to compete for scanning resources. We had to turn away some business because these wide format projects caused difficulties in our standard scanning workflow.”

Today, we can scan technical drawings using our Contex scanner and Kodak’s Capture Pro Software with only minor changes to our workflow. And we can use the same resources we use to scan our customers’ office documents. This saves steps in our process and eliminates the need to notify the quality-assurance team about variances in the document sizes. It makes scanning wide format as easy as scanning standard office-sized documents.

The Workflow
Customers provide E-BizDocs with volumes of documents to scan and archive; sizes can range from standard office-sized to large format sized documents. For example, a surveyor’s document may include a five-page, letter-size executive summary and a structural and landscape view of a property on large format paper. The document may also include letter-sized pages describing the components of a building, such as plumbing, electrical, and foundation. E-BizDocs scans the files using a combination of narrow format scanners from Kodak and Contex’s SD4490 wide format scanner, and the images are sorted and reassembled in Capture Pro Software.

The combined solution from Contex and Kodak makes it easy to merge and route documents, eliminating any chance for human error.

The Technologies
Contex’s wide format scanning solution for the EDM market features EMC Captiva ISIS drivers. Users can eliminate workflow processing bottlenecks with this industry-standard interface by scanning large format drawings, charts, maps, or other oversized documents directly into EDM/ECM systems and electronic capture software. The scanning solution makes it possible to manage large format documents within the same workflow process as letter- or legal-size documents, while achieving high-quality scans with document-specific presets.

Blazing the paperless trail

While we love to talk about new installations of CNG, it may lead you to wonder what it means for a company a bit farther down the path. Let’s look at an implementation after six years. What are they saying of the product now?

As in many other cases, the main challenge is just being convinced that it’s the way to go. You can read the entire article at Lawn & Landscape, but the key points are clear: even in a business with hands-on installers who don’t have a lot of time to write detailed notes and indicate who had what document and for how long, the system provides lasting and measurable benefits.

The article goes on to discuss the problem of the backfile documents, but proposes a realistic and practical solution: make it a gradual process. They held on to documents for five years, and anything that wasn’t scanned was later reviewed and shredded.

Lunch and Learn at Little Italy, 2011

We had a great time, and managed to talk about document scanning and electronic records management amidst the food and great company that attended. At events like this, it’s often easy to forget what you’re there to talk about because of the engaging personalities involved. But we managed.

We reviewed applications of document management in multi-user, and multi-location environments. Many businesses or offices are distributed, and access to the organization’s documents needs to be fluid for all involved. The demonstration included several such solutions, ranging from having Kodak scanners at multiple sites and scanning paper documents to a hosted installation of CNG-Online, which is one great option for just such a business.

The staff at Frank Guido’s was amazing. They provided everything we needed, and even had a server focus directly on us so that everyone was comfortable and well-taken care of. Even bringing in our large equipment, including the Kodak i4200 document scanner, was a breeze with their level of accommodation.

Overall, it was a great afternoon, and a huge success for our first event in Kingston as we introduce ourselves to business owners in Ulster County.

E-BizDocs sponsors a team for the Best Buddies Friendship Walk

E-BizDocs will be participating in the upcoming Best Buddies Friendship Walk. Manager Michelle Wheet is taking up the reins on assembling the team, completing the registrations, and outfitting the group with T-shirts to promote the event.

On Sunday, May 22, Schermerhorn Rd. will be crowded with individuals hoping to bring forth a more inclusive and accepting future for people with intellectual and developmental disabilities.

Wheet, who commented that this was her first time participating in the event, said “Doing all the legwork is a lot of fun, and the walk is something I’m really looking forward to.”


The Dinner with a Twist Follow-up

Now that we’ve had the weekend to rest up and clean up from the Rensselaer Chamber Dinner with a Twist, it’s time to reflect and evaluate. As with any show we do, we need to decide if the outcome was worth the effort, and we can say without a doubt, we’re going back next year.

Under the tent

We joined about forty vendors, three of which were co-sponsors of the event, to showcase our products and services, and to give attendees a chance to learn how E-BizDocs can help their company better manage their documents. We saw lots of good displays from other vendors and certainly some interesting giveaways.

If you were low on pens, coffee mugs, magnets, notepads, or golf tees, you would have found more than a few here. Of course, the freebies on the tables are a way to open the business conversation with some of the most well-spoken and qualified professionals in the region. The Chamber stands out for their ingenuity and eagerness to do business, and their membership follows suit. All in all, we’re sure lots of solid connections were made and many new relationships will be forged as a result of the evening.

The tent was amazing and the logos emblazoned across it set the tone for the night, promising a spectacular and flashy proceeding.

The table cards suggested that those present live-tweet the event, make observations and comments about the goings-on, post pictures or video, or whatever else interested them. By looking at the Twitter hashtag #dinnerwithatwist, you can see the activity, too. There were some great testimonials showing the effectiveness and all-around great time the dinner provided.

We did a little “Meet the Team” in a series of posts, introducing you to our representatives, so you’ll want to check those out. And several of the other vendors were kind enough to let us send out a tweet on their behalf, so thanks to everyone who participated.

So as you know, the whole thing centered around a few focal points to encourage some business socializing, namely the drinks and mixer portion, the dinner, and the dessert. The Franklin Plaza served as a classy and elegant venue, and what better place could there be to do business than that?

As we mingled and discussed our needs, wants, and desires (and the products and solutions to suit), there was never a moment that felt uncomfortable or contrived. A little food and fun goes a long way to calm the business nerve endings.

So where will E-BizDocs be around this time next year? You can bet you’ll see us at the 112th Annual Dinner, {with a twist}.

Come to the Dinner {with a twist} and leave with an iPad2

We’ve been planning our table for the upcoming Rensselear Chamber of Commerce’s Dinner {with a twist} and Business Expo for a few weeks now. Our goal is to try to provide the best information and demos possible so that we can answer any questions you have about document scanning and records management, and make it fun at the same time.

Well, now we are thrilled to announce that we will be giving away an iPad2 to one lucky attendee of the dinner. After 111 years of holding this event, we’re sure the Chamber has a lot of exciting plans for the show, and this is our way of heaping a little more on the pile.

E-BizDocs will be participating in the SEFCU Monopoly Tournament tonight. This event benefits the Center for Disability Services, and to date, SEFCU has contributed over $131,000 to benefit their work. Best of all, in addition to bragging rights, the coveted trophy, and other gifts, the tournament winner can make a $5,000 SEFCU donation to the non-profit of his/her choice.

Helping the job search go a little more smoothly

E-BizDocs has been scanning resumes at the Times Union Job Fair today. We’ve been doing this for this particular show for years, and we often are able to lend the same service to others, as well.

Having resumes available online for the participants helps them to more quickly identify the best candidates for the job and, in turn, hopefully gets that phone ringing a little sooner for the job-seekers.
