Do you have Document Confidence?

Our goal as a document management company is to give our customers complete confidence in their business documents. To get a better idea of exactly what that means, we’ve created this video to pose a few questions that will help you determine your level of document confidence.


What do you do with 150 extra cupcakes?

Last night was our movie event at the Palace Theatre. All we can say is “wow.” When you sandwich a great comedy between an Albany-Colonie Chamber mixer and a printer-beat down and networking reception, you have a great evening in the works.

We’ll be putting together our video and pictures to post soon, but the more immediate issue this morning was the cupcakes. We had purchased plenty for the attendees and had a few left over. And by “a few,” it was about 150 cupcakes.

Several times in the past, we’ve worked with the Capital City Rescue Mission. After setting them up with a document management system and working with them on previous charitable initiatives, it made sense to see if they could use them. Director of Finance Karen Church’s response was an emphatic “yes.”

It was great to stop in on the Mission and see everyone, as well as the folks at the Homeless and Travelers Aid Society—we split them between the two.

When planning an event, getting the amount right is a challenge. Fortunately, having too little is the only potential problem—you can never have “too much.”

Film Screening at Palace Theatre to Include Printer Demolition

E-BizDocs is sponsoring a screening of “Office Space” at the Palace Theatre on February 27th at 7:00 PM.  A pre-film auction will determine who will brandish the bat for the first beat-down of a printer, which is homage to the iconic scene where three characters abscond with, and subsequently destroy, a troublesome printer.  E-BizDocs will be offering two printers to be smashed.

Fans of the 1999 comedy “Office Space” will get the joke, as will anyone who’s ever been frustrated by their office equipment.  Shots will be a $1 and proceeds will be given to Best Buddies of New York which provides opportunities for one-to-one friendships, integrated employment and leadership development for people with intellectual and developmental disabilities. E-BizDocs is a true friend to Best Buddies and Area Director, Nicole Burch is grateful to Howard Gross and his company for their continued commitment to improving the lives of people with disabilities.

Howard Gross, President of E-BizDocs, said of the film, “As soon as we heard the movie was showing, we knew it would be a perfect fit for a document management company. It had so many aspects—the printer destruction, the office environment, the TPS reports, even the flair—that we could use to theme the event.”

Gross is always looking to add a little flair. Attendees will be offered buttons to pin to their shirts and express themselves, after the flair wore by a character in the film. Among other prizes given will be office parties featuring pizza, ice cream, or bagels—and , of course, red staplers.

The perfect document management film

In preparation for the screening of Office Space that we’re sponsoring on Monday, we had to review the film for ideas on how to best market the event. What we found was that Office Space is the greatest document management cautionary tale of modern times. We imagine it would have won an Oscar had the ballots not been misfiled by an intern.

  1. TPS Reports and the cover sheets. “Did you know that we’re putting cover sheets on all the TPS reports?” This memo, as well as the actual cover sheets, could be an integrated part of the document. Document Management software worth its weight provides the capability to attach a structured data form to your scanned images or digital born files.
  2. He set the building on fire. The movie centers on the good-natured protagonists’ attempt to steal minute increments of money from their employer. When it goes awry, the only thing saving them from jail is the incineration of the building, which is heavily implied to be arson. Had Initech backed up all of their business documents securely, justice could still have been served.
  3. Milton continues to work even though he had been fired long before. How could this happen? Somewhere along the lines, between the decision to terminate Milton and actually telling him he was fired, a document with that important (to Milton) piece of information was dropped. Document Management software ensures that documents get where they need to go.
  4. They destroy a printer. While we understand the part every piece of office equipment plays in the productivity of a company, you can’t overlook the benefit of passing on printer waste and frustration by viewing and distributing documents electronically.
So you see, even as it’s a tale of corporate disillusionment and employee despondence, perhaps the morale could have been managed if they had a better document management software.

Smash tools and the Ulster Chamber Breakfast

It’s Thursday, the 23rd, and there are only a few days left until the Office Space screening at the Palace Theatre. Two brave printers have stepped forward to sacrifice themselves for charity and we’ve acquired the bat and goggles to do the job. Stay tuned for a preview to be posted today.

In other news, we attended another great Ulster Chamber breakfast today. Ulster County Executive Mike Hein spoke emphatically about the initiatives they have planned for the region and we listened to an operatic performance of God Bless America.

We spoke with some interesting members of the Chamber. Clearly, the benefits of a good document management solution is getting out—three of the five companies represented at our table had already begun, or have long been engaged in, electronic document management. While we certainly enjoy making new contacts and identifying fresh opportunities, it’s great to see the process catch on. One person reported that even though they have an electronic document management and viewing system, certain people in their office still have to print everything.

Which is fine, really. As long as the overall tide is moving toward going paperless, if someone is more efficient or comfortable reading a document on paper, the best we can ask for is that it be printed in duplex on recycled paper, and that once it’s no longer needed, that it gets shredded for recycling again.

And we managed to track down Center for Spectrum Services, recipient of our door prize last month. They were delighted to have 50 buttons with their logo on them.

Print control
One thing to consider, still, is setting restrictions with regard to printing. In CNG, there exists advanced options that enable the administrator to allow or disallow an individual to print a document, as well as security options at the folder or cabinet level. And once you allow someone to print, you can still review the history and see who printed what. Now, that makes for some versatile printing capabilities.

Button door prizes

At a few previous Ulster Chamber events, we gave away a mug, two free tickets to the screening of Office Space, and 50 buttons with the winner’s logo on them. While we’re busy making flair for the movie, we took a break to complete the door prize.

Tonight, we’ll be attending the mixer at Roudigan’s Steakhouse and we hope to run into the winners to deliver their prize.

Building the flair bank

With two weeks left until the big event, we have a lot of preparation to do. We’re getting the photo booth ready, planning for the reception desserts, and getting the printer beat-down squared away. And we’re getting very excited.

And what Office Space movie event would be complete without a lot of flair? Not ours. We want to express ourselves. So we’re getting started making some flair. Bring your suspenders and get pinned with some flair the night of the movie.

The “It” Factor

We had a few representatives from E-BizDocs attend the Rensselaer Chamber Personal Branding discussion, hosted at the Century House. It provided some detailed insight on how to best build yourself as a brand. It’s a concept that may not be at the forefront of the mind on a day-to-day basis, however it goes a long way to ensuring success in business and in life.
