As part of the 2011 AIIM Industry Watch, we’re finding that companies are definitely taking the first step in managing their documents better, but the second highlighted point is cause for concern.
The volume of paper records is finally decreasing.
Paper records are decreasing in 41% of organizations, compared to 31% where it is still increasing. This is the first time AIIM has measured a net decrease across all sizes of organization.
Access to records across the enterprise is still poor:
28% of respondents consider the accessibility of records to employees across their business to be poor or very poor. Only 4% consider it to be excellent – for example, being able to search an enterprise records system for records from many sources.
While we are using less paper, there is a lack of implementation for good document management solutions. In the 28%, it’s unlikely that there exists a software that allows companies to add security, workflow, and structure to their documents. Relying only on operating-system-based tools such as search and folder structure, there can be little improvement on how your documents are actually managed–in fact, the word “managed” may not apply at all.
Two-pronged approach
While the transition to less paper is a terrific goal, it’s important to make sure that the organization and management of those files isn’t left in the lurch. E-BizDocs will be holding a Lunch and Learn on January 12 to help companies get started on using less paper in their offices, and in such a way that won’t compromise your efficiency and productivity, but enhance it.
